Accounts Payable Analyst

Job Summary

Manage the Accounts Payable process from the receipt and reconciliation of expense invoices through to 3-way matching. Analyze AP transactions for compliance with internal controls and accounting policies. Maintain and reconcile AP ledger and prepare management reports.

Responsibilities include but are not limited to:

  • Review and send invoices for approval, and organize digital storage of invoices
  • Enter invoices into ERP system
  • Enter new vendors into ERP system
  • Accurately code invoice expenses to the correct General Ledger accounts
  • Prepare weekly payment list and A/P aging report
  • Ensure timely and correct payment of all expenses within agreed vendor terms
  • Processing of employee credit card expenses through SAP Concur application; ensure compliance with travel and entertainment policy
  • Reconciling and coding employee credit card statements
  • Monitor and manage automated charges billed to company credit cards
  • Produce 3-Way Match report and ensure timely resolution of any issues
  • Contact vendors as required to maintain up-to-date Vendor List with correct Legal Entity Names, address, contact information and if appropriate banking information.
  • Reconcile A/P balance sheet account
  • Ensure A/P vouchers are marked as paid and saving payment confirmations in ERP system
  • Maintain internal spreadsheets of upcoming cash outflows and major expenses
  • Assess business necessity of incoming invoiced expenses
  • Analyze monthly charges from contracted service providers for appropriateness and prepare schedules to assess consistency.
  • Send payment confirmations to Development and Production team
  • Maintain workbooks and entries for recurring expenses
  • Maintain rent reconciliation workbooks
  • Provide information to external accountants for Property Tax filings
  • Assist with month-end and year-end activities.
  • Assist with seasonal cost accounting reconciliations.
  • Prepare 1099s annually
  • Supplies ordering for office and retail stores
  • Identify inefficiencies and opportunities for cost-savings
  • Undertake ad-hoc analytical projects

Qualifications and skills:

  • Bachelor’s degree in Accounting.
  • 2 years relevant experience in an accounting position.
  • Strong accounting skills and familiarity with accounting systems.
  • High level of computer proficiency – Excel, Microsoft Office, etc.
  • Demonstrated ability to multi-task.
  • Excellent communication skills.
  • Must be able to work independently, and in a cooperative team environment.
  • This position is located in New York City.
  • Experience with RLM and Concur is preferred but not required.

 

The salary range for this position falls between $65,000 and $80,000, with actual compensation being influenced by various factors such as education, certifications, additional skills, and years of experience in the field.
